Executive Operations Coordinator
Job Description:
Hamilton Aquatics is looking for an organised, proactive, and customer-focused Executive Operations Coordinator to join our team in Riyadh, Saudi Arabia. This role provides administrative and operational support to the Head of Operations while also supporting member experience and customer service activities.
Acting as a central point of coordination for operations, communications, scheduling, and member enquiries, this position plays a key role in ensuring efficient day-to-day operations and an excellent customer experience.
Key Objectives
- Provide administrative and operational support to the Head of Operations.
- Coordinate meetings, calendars, travel arrangements, and operational priorities.
- Support operational projects and venue launches.
- Act as the first point of contact for customer enquiries and member communications.
- Support customer retention and member satisfaction initiatives.
- Coordinate communication between operations, coaches, venues, schools, and members.
- Manage operational documentation, reports, expenses, and records.

Key Responsibilities
Executive Assistant (Primary Role)
- Manage the Head of Operations' calendar, meetings, travel, and correspondence.
- Prepare reports, presentations, agendas, and meeting minutes.
- Follow up on action items and operational projects.
- Maintain confidential documents and records.
- Coordinate with internal departments and external stakeholders.
- Support procurement, office administration, recruitment coordination, and onboarding.
- Track operational expenses and maintain records.
Member Happiness Executive (Secondary Role)
- Respond to member enquiries via phone, email, WhatsApp, and social media.
- Support bookings and customer follow-up.
- Handle complaints and coordinate resolutions.
- Support member communications and retention initiatives.
- Assist during competitions, events, and venue activations.
- Maintain accurate customer records.
- Support venue teams during busy operational periods.
Desired Qualifications
- Bachelor's degree or equivalent.
Desired Experience
- 2–5 years' experience in executive administration, operations support, customer service, or office management.
- Experience in the sports, education, hospitality, or service industry is advantageous.
